Services Five areas where your company loses time

01

An end to the paperwork

Documents sit in folders, inboxes and on individual computers, records are filled in by hand, and new staff keep asking the same questions. We build programs that keep order by themselves — from data you already produce.

1.1

An archive where everything can be found

Half an hour of searching→five seconds
Today

Contracts, records, instructions and templates sit in folders, inboxes and on individual computers. Finding a document from two years ago takes half an hour — and sometimes nobody finds it. New staff keep asking the same questions, and HR answers them by hand every time.

The program

One central archive with AI search: you ask in plain language — “Where is the maintenance contract with Müller?” or “How do I request leave?” — and get the document or the answer with its source. From the same documents the system builds onboarding paths and short training material for new employees. Access rights stay set per person.

Result

Any document in seconds — even when the auditor is already at the door. New employees get up to speed on their own, and HR no longer answers standard questions by hand every day.

1.2

Service records with photo and signature

An argument→ten seconds
Today

The crew was on site — but there is no way to prove it. The customer disputes it, the insurer wants a document.

The program

On site the employee takes photos, time and location are captured automatically, the customer signs on the phone. The record writes itself.

Result

Every dispute is over in ten seconds — with photo, time, location and signature.

What it can look like+

An application for the phone, nothing to install. The employee documents the job in a few steps: photos, time, work done, and the customer's signature if needed. Out of that a document is produced automatically — it reaches the customer and lands in the archive.

02

Who works when and where

The more people you have, the more time goes into one question: who is where, who was there how long, who covers tomorrow. We put that into a program the employee sees on the phone and the office sees on the screen.

2.1

Scheduling instead of a whiteboard

Phone calls on Sunday night→the shift on the phone
Today

The plan lives in Excel or on a board. Changes go by phone — usually on Sunday evening.

The program

One plan for every employee and every site. Each person gets their shift on the phone, changes arrive automatically.

Result

No more chasing people by phone. Nobody drives to the wrong site or on the wrong day.

2.2

Time recording instead of guesswork

Roughly recorded→documented without gaps
Today

Working time is only recorded roughly — yet employers in Germany are required to record it.

The program

Check-in and check-out on the phone or at the site, with hours, breaks and overtime calculated automatically.

Result

Hours, breaks and overtime are documented without gaps — as a basis for the statutory recording obligation. Wages are paid on facts, not on memory.

2.3

Dispatching with status instead of callbacks

A call to be sure→status at a glance
Today

The dispatcher keeps track of who drove where in their head, and calls once more to be sure.

The program

Jobs are assigned to teams, and every job has a status: on the way — on site — done.

Result

Dispatching stops being the bottleneck, and you see the whole day at a glance.

What it can look like+

One overview with every job and every team. The dispatcher assigns them, or follows what the system suggests. The team gets the job on the phone and sets the status with one tap — you can see at any moment what is open and who is booked where.

03

Orders & customers

Enquiries arrive by email, through the website, by phone and by messenger — and live in one person's head. We bring them to a place where every order and every customer is visible.

3.1

A system for your trade, not a universal one

A CRM built for software sales→a system built on your logic
Today

You tried a big CRM. It is built for software sales — not for sites, shifts and winter call-outs.

The program

A system that follows your logic: customers, sites, contracts, season, order history.

Result

Your people actually use it, because it speaks their language.

3.2

Every enquiry in one list

A colleague's mailbox→one shared list
Today

An enquiry disappears because it landed in a private WhatsApp chat or in a colleague's personal mailbox — and they happen to be on holiday.

The program

Enquiries from the website, the mailbox and WhatsApp come together in one shared list — with an owner and a deadline.

Result

No enquiry gets lost any more. And you can see in black and white how fast you actually reply.

3.3

A customer portal instead of callbacks

The customer phones→their own login
Today

The customer calls and asks whether anyone was there. You go looking for the record.

The program

Through their own login the customer sees their jobs, photos, reports and documents.

Result

Fewer calls, more trust — and a strong argument in every tender.

3.4

Complaints that don't vanish in a chat

Forgotten the next day→a deadline and a status
Today

A customer complains about a job, it is discussed briefly in a chat and forgotten the next day. The same mistake happens again at the same site — and at the contract meeting you have no overview at all.

The program

Every complaint is recorded: site, date, what it is about. It gets an owner, a deadline and a status until it is closed. The customer gets an answer without anyone having to remember.

Result

You see at a glance which sites keep coming up — and whether there is a problem in the process behind it or it was a one-off.

04

Numbers in view

Your data has been there all along, it just sits in five different places. We bring it into one picture that keeps itself up to date.

4.1

One overview for management

One page: orders, hours, utilisation, open items. On the phone over morning coffee — without anyone putting it together.

4.2

Reports that arrive by themselves

The weekly overview by email every Monday. Always the same structure, always current.

4.3

What a site really costs

Hours, travel and rework per site. It often turns out that you have been serving certain customers at a loss for years.

4.4

A warning before it gets expensive

The system speaks up on its own: site not signed off, hours over the limit, invoice overdue, enquiry without a reply.

4.5

Connecting the programs you already have

Accounting, spreadsheets and the mailbox don't talk to each other. We build the bridge so the data travels on its own.

4.6

Moving out of Excel

We take your spreadsheets, history included, into a clean system — without losing anything on the way.

05

Website & visibility

A website should bring enquiries, not merely exist. And people have to find you — in search, and by now in the answers of AI assistants too.

5.1

Company website

Fast, clear, multilingual, with a contact form whose messages actually reach you. Legal notice and privacy policy cleanly built in; you agree the wording itself with your legal adviser. No cookies and no third-party embeds by default.

5.2

Landing page for one topic

One page for a single product or service — for campaigns, mailings or a particular trade.

5.3

Online booking

The customer picks their own slot, you are notified, the reminder goes out automatically.

5.4

Technical SEO

Speed, structure and clean markup — so search engines understand who you are and what you offer.

5.5

Local visibility

Business profile, map listings, reviews — so that whoever searches in your region finds you.

5.6

Visibility in AI answers

More and more customers ask an AI assistant instead of a search engine. We prepare your site so the AI can name you.

Intro call

Tell us what eats the most time at your company.

The intro call is not about software, it is about how you work. Thirty minutes, no obligation, in German, English, Ukrainian or Russian. You speak directly with the person who then writes the code — no project manager in between.

Or write directly: david@tryoutreachlab.com

We use your details only to handle your enquiry. Technical service providers (hosting, email delivery, mailbox) process them on our behalf, partly in the USA. Details in our privacy policy.
